Flat-Fee vs. Percentage-Based Property Management: Why Stetson Charges a Flat Monthly Fee

When comparing property management companies, one of the first differences rental property owners notice is how each company charges for ongoing management.
Many property management companies charge between 8% and 10% of the monthly rent collected. Some charge even more.
At Stetson Property Management, we use a simple flat monthly management fee instead.
After managing more than 850 rental homes throughout the Austin, Texas area since 2009, we have found that flat-fee pricing creates a more transparent and predictable relationship between property owners and their management company.
Our monthly fee reflects the professional service we provide not simply how much rent a property commands.
If you are comparing property management companies in Austin or the surrounding Central Texas communities, here is why we believe flat-fee property management is the more owner-friendly approach.
Quick Answer: Why Does Stetson Charge a Flat Management Fee?
Stetson Property Management charges a flat monthly fee because the core work required to professionally manage a rental home is generally similar whether the property rents for $2,000 or $4,000 per month.
Rent collection, accounting, lease administration, tenant communication, inspections, maintenance coordination, and owner reporting do not automatically require twice as much work simply because a home commands twice the rent.
We believe rental property owners should pay for professional management services not be charged more solely because their property has a higher rental value.
What Does Stetson Property Management Charge?
Beginning August 1, 2026, Stetson Property Management charges:
- $125 per month for homes renting below $3,000 per month
- $150 per month for homes renting for $3,000 or more per month
We also charge a leasing fee when we place a new tenant and a renewal fee when an existing tenant renews.
Our pricing is clearly disclosed so owners can evaluate the complete cost of professional property management not just an advertised monthly fee.
We do not believe in attracting owners with an unusually low management rate and then making up the difference through excessive administrative charges or hidden maintenance markups.
How Percentage-Based Property Management Works
Under a percentage-based pricing model, the property management company receives a percentage of the monthly rent it collects.
For example:
Monthly Rent: $2,000
Management Fee at 10%: $200 per month
Monthly Rent: $2,500
Management Fee at 10%: $250 per month
Monthly Rent: $3,500
Management Fee at 10%: $350 per month
Monthly Rent: $5,000
Management Fee at 10%: $500 per month
As the property's rental rate increases, the management company's monthly fee automatically increases as well.
At first glance, that may seem reasonable. However, it raises an important question.
Does a Higher Rent Mean More Property Management Work?
In our experience, usually not.
Whether a rental home leases for $2,000 or $5,000 per month, the property manager is still responsible for many of the same essential services, including:
- Marketing the property
- Coordinating property showings
- Screening rental applicants
- Verifying applicant identities
- Preparing and managing lease agreements
- Collecting rent
- Communicating with tenants
- Coordinating maintenance
- Processing owner statements
- Managing vendor access
- Conducting inspections
- Handling move-ins and move-outs
- Managing lease renewals
- Responding to emergencies
- Enforcing the terms of the lease
Higher-value homes can occasionally involve more complicated maintenance, higher owner expectations, or unique property features.
However, the core paperwork, accounting, communication, inspections, rent collection, and lease administration remain substantially the same.
The management company's workload does not automatically double simply because the monthly rent doubles.
A Real-World Property Management Cost Comparison
Consider two rental homes managed by the same company.
Property A
Monthly rent: $2,000
At a 10% management rate, the owner pays:
$200 per month
$2,400 per year
Property B
Monthly rent: $4,000
At the same 10% management rate, the owner pays:
$400 per month
$4,800 per year
The owner of Property B pays an additional $2,400 per year in management fees.
Did the property manager perform twice as much accounting?
Did the property require twice as many lease documents?
Did rent collection require twice as much work?
Did routine communication, inspections, and owner reporting double?
In most cases, the answer is no.
Yet under a percentage-based model, the owner's management cost doubles.
That has never made much sense to us.
Why Stetson Property Management Chose Flat Fees
When we built Stetson Property Management, we wanted our pricing to reflect the value of our work not simply the rental value of an owner's property.
We believe our compensation should be supported by:
- Honest communication
- Prompt response times
- Professional leasing
- Careful tenant screening
- Reliable rent collection
- Transparent accounting
- Effective maintenance coordination
- Reduced vacancy
- Long-term tenant retention
- Protection of the owner's investment
A property manager should not automatically receive a raise every time market rents increase.
When your property earns more rent, more of that increase should remain in your pocket.
That is how we believe a genuine property management partnership should work.
Flat Fees Create More Predictable Ownership Costs
Rental property owners already face expenses that can change unexpectedly.
These may include:
- Repairs
- Insurance
- Property taxes
- HOA dues
- Turnover expenses
- Make-ready work
- Appliance replacement
- Capital improvements
Your monthly property management fee should not be another unpredictable expense.
A flat monthly fee provides:
- Easier budgeting
- Predictable operating expenses
- Clearer cash-flow forecasting
- No automatic management fee increase when rent rises
- Greater transparency
- More rental income remaining with the owner
For long-term rental property investors, that financial predictability matters.
Compare the Total Cost of Property Management
One of the biggest mistakes owners make when interviewing property management companies is comparing only the advertised monthly management fee.
The monthly fee is just one part of the total cost.
Before hiring a property manager, ask whether the company charges separately for:
- Leasing or tenant placement
- Lease renewals
- Property inspections
- Maintenance coordination
- Vendor markups
- Administrative services
- Technology access
- Advertising
- Eviction coordination
- Annual accounting
- Document preparation
- Property visits
- Cancellation or account closure
A company advertising a low monthly percentage or discounted management fee may recover those costs through additional charges elsewhere.
Owners should always request a complete fee schedule and compare the total cost of management.
Does Stetson Mark Up Maintenance Invoices?
No.
Stetson Property Management does not add a percentage markup to routine tenant maintenance invoices.
Vendor charges are displayed transparently on the owner's monthly statement.
We believe property owners should understand what maintenance work was completed, who completed it, and what it cost.
Larger renovations, capital improvement projects, and specialized coordination services may fall outside routine property management and may require separate approval and pricing.
However, routine tenant maintenance is not treated as an opportunity to increase the management company's profit through hidden percentage markups.
Service Matters More Than the Monthly Fee
The lowest management fee does not always produce the lowest total ownership cost.
A strong property manager can save an owner thousands of dollars by:
- Reducing vacancy periods
- Pricing the property correctly
- Screening qualified tenants
- Verifying applicant identities
- Identifying maintenance issues early
- Coordinating reliable vendors
- Preventing avoidable lease violations
- Responding promptly to tenant concerns
- Documenting property conditions
- Reducing preventable turnover
- Helping owners avoid expensive legal and operational mistakes
Saving $25 or $50 per month on a management fee means very little if the property remains vacant for an additional month, receives poor maintenance oversight, or is leased to an unqualified tenant.
The quality of the management company matters far more than one number on a pricing page.
Our Property Management Philosophy
At Stetson Property Management, we believe our job is straightforward:
Protect your investment.
Communicate honestly.
Respond promptly.
Provide clear financial reporting.
Treat your rental property as if it matters.
If we do those things well, owners will remain with us because we have earned their trust not simply because changing property managers feels difficult.
Frequently Asked Questions About Flat-Fee Property Management
Is flat-fee property management less expensive?
For many rental property owners, especially those with higher-rent homes, flat-fee management can be less expensive than percentage-based pricing.
Because the monthly management fee does not automatically increase as the rent rises, owners may retain more of their rental income over time.
The total cost will still depend on the company's leasing fees, renewal fees, maintenance policies, and other charges.
Does a flat fee mean fewer property management services?
No.
The quality and scope of property management services depend on the company—not whether it charges a flat fee or a percentage.
Owners should compare tenant screening, communication, maintenance coordination, inspections, accounting, leasing, response times, and owner support.
Why do many property managers charge a percentage of rent?
Percentage-based pricing has been common in the property management industry for decades.
It is easy to calculate and allows the management company's revenue to increase automatically when rents increase.
We believe flat-fee pricing provides owners with greater transparency and predictability.
Does Stetson only get paid when rent is collected?
Our management agreement explains when monthly management fees are earned and charged.
Owners should review the complete management agreement of any company they are considering rather than relying only on a pricing summary or advertisement.
Is flat-fee property management right for every owner?
Every property owner has different priorities.
Some owners prefer percentage-based pricing. Others place greater value on predictable monthly expenses and transparent fees.
The best decision is made by comparing:
- The company's experience
- The services included
- Communication standards
- Tenant screening procedures
- Maintenance practices
- Leasing performance
- Total fees
- Contract terms
- Local market knowledge
The pricing model should be considered as part of the complete management relationship.
